What to prepare for a commercial laundry quote

A useful quote starts with clear information. You do not need perfect records, but preparing a few details helps make the conversation specific and the service relevant to your business.

Organized textile delivery

Describe your business and textiles

State whether your enquiry is for a hotel, restaurant or another business. List the items: sheets, covers, towels, tablecloths, napkins or workwear. Where possible, include dimensions, labelled fabric composition and whether you own the textiles or are considering rental.

Estimate quantities with a clear basis

Provide item counts or measured weight for a typical week and explain the basis of your estimate. If these figures are unavailable, give your property's capacity and expected occupancy. Separate regular and peak volumes and label estimates as approximate. Avoid converting items into kilograms without weighing them.

Explain when and where textiles are needed

Include the exact address, preferred collection and delivery days, intended start date and a contact person. Mention vehicle access restrictions, stairs, receiving hours or limited storage space. Handover arrangements are part of the service and should be agreed before work begins.

Highlight special requirements

State requirements for folding, packaging, marking and separation by department. Explain current problems, such as insufficient reserves, unclear records or recurring soiling. Photos of representative items may help the discussion, but the final assessment depends on textile type and condition.

What should the reply include?

Ask for a quote that clearly states the service scope, billing unit, tax treatment, transport, turnaround times and any minimum quantities. Check complaint procedures and terms for volume changes. An enquiry starts a discussion; it does not commit you to accepting the offer. Clarify outstanding questions before contracting.
